This Privacy Policy explains how People Not Paper Ltd, trading as People Not Paper ("we", "us"), collects and uses personal data. We are the data controller in respect of the data described below and are registered in England and Wales under company number 11384826, with a registered office at 10 Western Road, Romford, RM1 3JT, United Kingdom.

We take data protection seriously and process personal data in accordance with the UK GDPR and the Data Protection Act 2018.

1. Who we are and what we do

People Not Paper provides recruitment software to recruitment agencies and employers. Our products — Relay and Proof — help our customers coordinate live roles and assess candidates. In most cases our customer is the recruitment agency or employer, and we process candidate and hiring manager data on their behalf as a data processor.

Our software sends recruitment-related messages over channels including WhatsApp (via the WhatsApp Business Platform), SMS and email. These messages relate to a role a person is actively involved in — for example interview invitations, scheduling, status updates and reminders.

We only message people who have opted in. Candidates opt in when they apply for a role or engage with a recruiter using our software. Recruiters and hiring managers opt in when their organisation is onboarded. We do not send unsolicited marketing messages.

Opting out. You can stop receiving messages at any time by replying STOP to any message, or by emailing hello@peoplenotpaper.com. Opt-outs are actioned immediately.

Messages sent via WhatsApp are also subject to Meta's own privacy terms.

5. Sharing your data

We share personal data only with: the recruitment agency or employer engaged in the relevant role; service providers who host and operate our platform (including our hosting, database and messaging providers); and where required by law. We do not sell personal data, and we do not share it with third parties for their own marketing.

We keep personal data only as long as necessary for the purposes set out above, or as instructed by the customer on whose behalf we hold it. Where we act as a processor, data is deleted or returned at the customer's request.

Some of our service providers may process data outside the UK. Where that happens, we ensure appropriate safeguards are in place, such as UK-approved standard contractual clauses.

8. Your rights

You have the right to access, correct, delete or restrict the processing of your personal data, to object to processing, to data portability, and to withdraw consent at any time. To exercise any of these rights, email hello@peoplenotpaper.com.

If you are unhappy with how we handle your data, you may complain to the Information Commissioner's Office (ICO) at ico.org.uk.

We use appropriate technical and organisational measures to protect personal data, including encryption in transit, access controls and hosting with reputable infrastructure providers.

10. Cookies

Our website uses only essential cookies required for the site to function. We do not use advertising or tracking cookies.
